Data protection information for job applications

Thank you for your interest in our online employment ad. io-consultants and its subsidiary io-DigitalSolutions and io-BuildingServices are strongly committed to protecting your privacy. Pursuant to the respective data privacy regulations, including, but not limited to the General Data Protection Regulation (GDPR), we would therefore like to familiarise you with the way we collect, process and use the data you submit to us within the scope of your online application. io-consultants is responsible for the central application management, also for our subsidiaries. Whenever io-consultants is mentioned in the following text, all subsidiaries are included. As far as your application refers to another location outside the EU, a transfer of your personal data to non-European countries may be necessary. In order to ensure an adequate protection of your data, the following guarantees are applied for this purpose: standard contractual clauses in accordance with Art. 46 GDPR.  

Please read the following information and provisions carefully before submitting your data.

Data collection & transmission methods 

With your application, you agree to send us private data such as your contact details, CV, education and training-related transcripts, and other certificates.

Applicant software:

You will be asked to upload your CV through an application form specifically designed for this purpose. Your CV will then be processed automatically and your data will be stored in our application data base. Your attachments will be processed by an OCR software and any recognised content will be stored in your records. Your original documents will be converted into a pdf file and also added to your records. Your original data will be deleted.

Transmission by e-mail:

Application documents submitted by e-mail will be automatically retrieved and captured in our applicant management system. This process comprises the storage of all attached documents (motivation or cover letter, CV, reports, and any other documents) and the information contained therein.

In addition, the data submitted to us can be used for statistical purposes regarding the (online) application process. These statistics are always anonymised and used exclusively for our own purposes.

Prohibited content

You are liable for the content of the uploaded data. Please make sure your attachments are free of viruses, worms, malware etc.

The information you submit to us must be true and must not, in any way, infringe any third parties’ rights, public or any other applicable legal regulations, or be contrary to the accepted principles of morality (“prohibited content”). Please note that we may be entitled to file for damages against you if you submit prohibited content.

Data processing

The application portal is operated by concludis GmbH, Frankfurter Str. 561, 51145 Cologne, Germany, and hosted on servers of Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany.

Your CV is processed by Textkernel’s automatic parsing tool on a server in Germany. After the parsing process, Textkernel will delete your original data.

Purpose of data collection and transmission

io-consultants requires your personal data to process your application. We will treat your personal data confidentially and store it safely, with the utmost care and diligence, and use it exclusively for purposes required for such processing. All actions regarding your data are subject to the applicable provisions of the General Data Protection Regulation (GDPR). Your personal data will not be forwarded to any third parties. The legal basis for the processing of data in the context of applications for one of our locations in Germany is § 26 German Federal Data Protection Act (BDSG) or Art. 6.1 (b) GDPR for applications for one of our locations outside the EU. 

Terms of storage of application data

Your personal application data will be deleted three months after conclusion of the application process at the latest, unless an employment relationship has been established between you and io-consultants. This does not apply if legal provisions prohibit such deletion, if the continued storage of your data is required for documentary evidence, or if you have expressly approved of an extended storage period, e.g. for future job applications.

Data storage for future employment opportunities

If we cannot offer you a current employment opportunity, but find your application interesting for possible opportunities in the future, we will store your application data for a maximum of six months, provided that you have given us your express approval for such storage and use. We will expressly request your prior approval for this extended storage by e-mail. With your approval, your documents will be compared with the requirement criteria for future job opportunities within our company and we will contact you in the event of any matches. We will not forward your data to any third party. You can revoke the approval provided at any time under the contact details of the data protection officer. The legality of the processing carried out on the basis of the approval until the revocation remains unaffected.  

Data security

We make all endeavours to protect your data from any damage and unauthorised external access, including the implementation of measures such as SSL encryption, firewalls, hacker defence tools and programmes, and other manual security measures. SSL encryption is active if the key symbol located at the bottom of your browser is closed and the address starts with “https://”. Please note that our pages use JavaScript™.

Interruption, termination or modification of services, and deletion of data

We cannot guarantee that this service will be available at all times. Service interruptions, malfunctions or failure of our online services cannot be excluded. The servers are regularly backed up with due care. We recommend making backups of any data you send us - irrespective of the transmission medium. We retain the right to change, extend, limit or cancel our services at any time. Therefore, we cannot be held accountable for any data loss or deletion.

Right of access to your data

Upon written request we will notify you, pursuant to applicable law, about the type and kind of personal data that has been stored on our servers.

Notice of the processing of data

With the activation of the check box you expressly acknowledge that io-consultants may collect, process and use any data submitted to us in order to process your job application. Your data will only be transmitted if you have acknowledged this by checking the respective box.

Right to file a complaint

Without prejudice to any other legal remedies under administrative law or in court, you are entitled to file a complaint with any supervisory authority, including but not limited to that of the EU member country of your residence, your workplace or the location of the alleged violation of your data privacy rights, if you have reason to believe that the processing of the respective personal data violates applicable law. Amendments to this Data Protection Information

Due to the rapid evolution of the internet and legal developments, we retain the right to adapt this data protection information to the applicable technical and legal requirements.
